Abstract

Business process which is running well can help the organizations to run their activites effectively and efficiently. In managing the academic administrations, Filkom often had problems such as delays in publishing lecture schedules. In addition, the standard operating procedures (SOP) were not used as a reference for completed the preparations of new semester courses. In this research, the researcher would analyze the lack of SOP and would analyze the root cause of problems to find out the reason why SOP were not implemented and why the publication of lecture schedules were often late. SOP were analyzed based on the completeness, consistency, and realism of the activites. The root causes were analyzed by using root cause analysis (RCA) with 5 whys analysis, after the related business process were modeled with BPMN. After the problems were collected, they were classifie based on the relevant type of waste by using lean concepts to find out the solutions for the next research. The business process of preparations for the new semester need to have indicators of success, so that these problems wouldn't occur for the next time. So, quality factors might be determined by using quality evaluation framework. The results showed that there were the defeciency in the SOP, like the target times of SOP were not realistic with the actual completion time of the activity and there were many naming activities were not clear and consistent. While, the delay in publication of lecture schedules were due to insufficent work time, difficulty in dividing assignments, and limited resources. Wastes were found like activity duplication, overload, waiting, defects, misunderstanding, inappropriate systems, and delay. While the quality factor refered to timeliness and time to recover.
