Abstract

Correspondence administration is a crucial activity for ensuring smooth operations at the Medan Mayor's Office. Managing incoming and outgoing correspondence manually creates various challenges, such as time-consuming data retrieval, the risk of document loss, and inefficient archiving processes. Therefore, an information system is needed to make correspondence management more effective, efficient, and computerized. This study aims to design and develop a web-based correspondence information system to support administrative activities at the Medan Mayor's Office. The system development method employed is the Prototyping model, allowing users to provide input throughout the development process to ensure the resulting system meets their needs. The system was developed using native PHP and a MySQL database, running on an XAMPP web server. The results indicate that the developed system can manage data regarding incoming and outgoing correspondence, correspondence dispositions, document archiving, data retrieval, and report generation more quickly and accurately. Implementing this system makes correspondence administration more effective and efficient, simplifies document management for staff, and ultimately improves the quality of administrative services at the Medan Mayor's Office.
