Abstract

Introduction. In Indonesia, technology has developed in various fields, this study explores the management of archives in Indonesian institutions still uses conventional archives or manages records electronically. The result of our findings also convey information on the development of electronic records management that has been carried out through a systematic literature review.Methods. A systematic literature review method was used for exploring electronic records management study. The use of this method is designed to search for, assess, and synthesize the best available evidence. The goal is to get informative, evidence-based answers related to the research questions.Analysis. The research will be analyzed based on the theory of Population, Intervention, Comparison, Outcomes and Context (PICOC). Results and Discussion. Carried out through a systematic literature review method, our results found 20 documents that had links with electronic archive management activities. The institution applies electronic archive management by using software technology such as computer-based applications, Android-based applications on mobile phones, and website-based network applications to various processes of archiving activities.Conclusion Our results suggest that the management of institutional records in Indonesia should follow the development by implementing electronic management.

Abstract

Background of the study: The increasing number of archive services with the implementation of online archive services. This increase services needs to work with excellence service in university archive. The Kanban method is a potential service management approach. This study examines the application of kanban in university archive services and what needs to be considered for its successful implementation. Purpose: This study aims to evaluate and provide recommendations for improving the implementation of the kanban system in university archive services. Method: This study uses a qualitative method (Action research). Collecting data by direct observation and experience of researchers while work as an archivist. Findings: Kanban method helps service coordinators to more easily monitor archive service requests through the kanban board. It is necessary to determine the WIP according to the capacity of the service team. There is a redundant task basket that needs to be integrated into a single process. Improvement of electronic-based work culture for service division archivists in the application of digital kanban. Conclusion: Improving the quality of university archive services can be done with a kanban approach. Kanban flexibility can be applied to a variety of archive service processes. Periodic evaluation needs to be done so that the applied kanban method is more perfect.

Abstract

Filing is a records processing activity by grouping documents into files in the work unit. Division Unit 2 at the Administrative Center of the Universitas Indonesia consists of 9 work units that create and capture record in accordance with their main tasks and functions, which are supporting core activities of the Administrative Center of the Universitas Indonesia. The records processing is based on the Universitas Indonesia's records classification scheme instrument. The research question is: how is the implementation of records filing in Division unit 2? Is the implementation in line with the instrument? The research purpose is to provide an overview of the records filing implementation in work units within Division Unit 2. I use qualitative research approaches with data collection techniques, interviews, participatory observation, and documentary analysis. The results show that, within Division Unit 2, four out of nine work units have carried out records filing according to the classification scheme and all work units have made a record inventory but have not included the location code for records storage.

Abstract

The condition of restrictions on community activities due to the COVID-19 pandemic has forced the Archives Office at Universities to adjust archive services. COVID-19 disaster preparedness needs to be implemented within the University of Indonesia Archives Office. This study aims to identify the preparedness of the University of Indonesia Archives Office in dealing with the COVID-19 disaster and. This is qualitative research with case study method. The results show that the University of Indonesia Archives Office has responded to the COVID-19 pandemic situation by carrying out various preparedness efforts that are implemented in service activities and archive management. The obstacle faced by staff and leaders during the pandemic is establishing communication and interaction. Based on the results of the study, the suggestion from this research is that the University of Indonesia Archives Office needs to make a post-disaster recovery plan and look for efforts to establish effective communication during the pandemic between staff and leaders.
