Abstract

Badan Pengelolaan Keuangan dan Aset Daerah merupakan salah satu instansi yang menghasikan arsip di lingkungan Provinsi Jawa Tengah. Pengelolaan arsip yang tertib dan baik tentunya di dukung oleh arsiparis yang handal dan profesional. Arsiparis merupakan sesorang mepunyai tugas, wewenang, dan tanggung jawab secara penuh dalam melakukan aktivitas kearsipan. Pengelolaan arsip yang baik dan benar sudah diatur dan disahkan pada peraturan pemerintah, namun hal ini sering kali diabaikan dan tidak dipergunakan. Faktor utama yang menyebabkan dunia kearsipan sering diabaikan yaitu karena pradigma yang selalu menempatkan arsip berada dipinggirkan diantara bidang yang lain. Oleh karena itu, profesi arsiparis hingga saat ini masih jarang ditemui. Penelitian ini bertujuan untuk mengetahui peran arsiparis dalam pengelolaan arsip di BPKAD Provinsi Jateng, sehingga diharapkan hasil dalam penelitian ini dapat dijadikan dasar pertimbangan agar pembuatan kebijakan dalam bidang kearsipan menjadi lebih baik. Penelitian ini menggunakan pendekatan kualitatif deskriptif dan studi pustaka dimana kualitatif deskripstif yaitu mewawancarai narasumber kemudian hasilnya ditulis atau digambarkan sesuai dengan kondisi nyata yang ada di lapangan. Studi pustaka yaitu membaca literatur yang memiliki keterkaitan dengan hal yang setema dengan penelitian ini. Hasil penelitian ini menunjukkan bahwa arsiparis sangat memiliki peran yang penting dalam pengelolaan arsip, dimana hal ini ditunjukkan langsung pada fakta lapangan dimana ketika tidak ada arsiparsis dokumen- dokumen yang sudah jarang digunakan hanya ditumpuk atau dimasukan kedalam karung. Hal ini menyebabkan pada saat arsip tersebut dibutuhkan untuk keperluan instansi para pegawai banyak yang merasa kesulitan untuk menemukannya.

Abstract

Arsip mencakup berbagai bentuk media seperti kertas, elektronik, mikrofilm, atau fisik lainnya. Arsip digunakan untuk menjaga dan merekam informasi yang penting untuk keperluan administrasi, penelitian, dan pemeliharaan sejarah serta data data terdahulu. Namun, pada kenyataannya masih ditemukannya arsip inaktif yang tidak dikelola dengan baik. Dalam kajian ini menggunakan penelitian kualitatif dengan pendekatan deskriptif, menggunakan data wawancara, dan observasi. Dari kajian ini ditemukannya bahwa di Bapenda Provinsi Jawa Tengah, adanya kekurangan dari segi fasilitas guna menata arsip inaktif. Kurangnya tempat atau ruangan penyimpanan arsip fisik, lemahnya SDM untuk mengelola arsip inaktif dan keterbatasan anggran. Namun, Bapenda Jawa Tengah sedang berupaya untuk mengoptimalisasi kualitas SDM dan peningkatan sarana dan prasarana. Dapat disimpulkan bahwa masih adanya kekurangan dalam penataan arsip inaktif, namun pemerintah sedang berupaya untuk meningkatkan kualitas dan kuantitas.

Abstract

Information is an important part of communication between individuals and groups. Information is closely related to archive search. Archive searching is an important part of archive editing because searching allows researchers to find important information in archives. Based on the results of an archive search survey at one of the archival institutions, namely the Ponorogo Regency Library and Archives Service, archive searches are still limited through Microsoft Excel and there are no other innovations. Seeing current technological developments, researchers offer solutions for searching archives through the AppSheet website at the Ponorogo Regency Library and Archives Service. The purpose of this study, among others, is to find out how to use the AppSheet website, use the AppSheet website in related agencies, as well as the advantages and disadvantages of the AppSheet website. The research method in this study is a qualitative method through interviews and observation. The informants in this study were 4 archivists in related agencies. The results of the study show that how to use the AppSheet website consists of 22 steps. How to use the AppSheet website in related agencies include: 1) The features provided are quite easy to use. 2) Retrieval components that are fulfilled include: users, queries, documents, and matching. 3) The description is complete. 4) The retrieval step is quite easy. 5) Available metadata include: processing unit, file number, file number, description of archive information, time period, and amount. 6) Obstacles in the operation of the AppSheet website as a retrieval of inactive photo archives so far not all users can access and cannot be operated offline. 7) The solution for operating the AppSheet website as a retrieval of inactive photo archives is that later users who really need access to these inactive photo archives will be allowed to view them to get information to support their final thesis or assignment. In addition, active photos need to be placed on a flash disk to back up data. 8) There is no comparison with other applications. 9) Criticism and suggestions follow technology and regulatory developments in politics and law and features are added. Disadvantages of the AppSheet website include: users must understand technology and need to share links so that other users can access them. The advantages: increasing efficiency, effectiveness, presentation of information, when it is static it can be accessed by the public.  Keywords: Inactive Photo Archive Retrieval, AppSheet Website, Ponorogo District Library and Archives Service.

Abstract

This study examines the transformative role of artificial intelligence (AI) in archival science, with a particular focus on enhancing records preservation, retrieval accuracy, and knowledge accessibility in the digital era. The increasing volume and complexity of digital records have posed significant challenges for traditional archival practices, necessitating the integration of advanced technological solutions. In response, AI has emerged as a promising approach to automate archival processes and improve the efficiency of information management systems. This study adopts a literature review methodology by systematically analyzing relevant scholarly publications to synthesize current knowledge on AI applications in archival contexts. The review draws upon peer-reviewed articles indexed in reputable databases to ensure the credibility and relevance of the findings. The results indicate that AI technologies, including machine learning, natural language processing, and computer vision, significantly contribute to improving digital preservation strategies and minimizing data degradation risks. AI-driven retrieval systems enhance the precision and speed of information access through intelligent indexing and semantic search capabilities. The study also finds that AI facilitates broader knowledge accessibility by enabling user-centered interfaces and adaptive information systems. Despite these advancements, several challenges persist, including ethical concerns, data bias, and the need for standardized implementation frameworks. This study contributes to the growing body of knowledge by providing a comprehensive synthesis of AI applications in archival science and offering insights for future research and practical implementation.
