Abstract

Information and documentation management at the Public Information and Documentation Management Office of Tegal City faces operational challenges due to reliance on manual mechanisms for collecting files from 73 Regional Government Agencies. The main obstacles include slow recapitulation processes that can take up to four weeks, high risk of damage or loss of physical archives, and difficulty in monitoring document submission status in real time. This study aims to design and implement a web-based information system that optimizes the workflow of collecting, verifying, and monitoring public document compliance across government agencies within the digital governance infrastructure of Tegal City PPID. The system was developed using the Waterfall model which includes requirement analysis, system and data design, coding, testing, and maintenance. System modeling was carried out using Unified Modeling Language to visualize system functions and data structures. The resulting system integrates workflows between 73 Regional Government Agencies and the PPID through a centralized platform that allows operators to upload documents independently and administrators to conduct verification processes. The system also provides a monitoring dashboard to track document submission compliance in real time. System validation was conducted using Black-box Testing on 11 functional scenarios with a success rate of 100%, and User Acceptance Testing confirming system acceptance based on seven evaluation criteria. The implementation of this system improves efficiency in document management, reduces the risk of data loss, and supports more effective public information services.

Abstract

Abstrak - Sistem informasi pengarsipan merupakan salah satu aspek yang di perlukan perusahaan perbankan, Arsip memegang peranan penting dalam kelancaran dan efektifitas. Saat ini pengarsipan yang dilakukan kantor BNI wilayah 15 masih dilakukan secara tertulis menggunakan pembukuan. Dengan adanya proyek sistem informasi pengarsipan berbasis web ini dapat merubah sistem kinerja di dalam bagian administrasi agar mempermudah dalam pengarsipan surat masuk dan keluar, serta dokumen lebih terjaga dan terjamin kerahasiaannya. Proyek sistem informasi pengarsipan berbasis web ini melalui bebrapa tahap dalam metode pengembangan proyek perangkat lunak yaitu Initiating Process, Planning Processes, Executing Processes, Controlling Processes, dan Closing Processes. Dalam tahap perancangan program dibuat menggunakan Bahasa pemograman Laravel dan MySQL untuk pengolahan datanya. Teknik Analisa Data Penelitian ini yaitu analisis deskriptif dengan metode kualitatif dengan mendeskripsikan atau menggambarkan secara utuh dan nyata mengenai model implementasi sistem informasi pengarsipan surat pada Unit BMW-Funding berbasis web. Perancangan proyek sistem informasi dilakukan menggunakan Work Breakdown Structure (WBS), agar penyusunan manajemen proyek yang sangat baik, maka diperlukan estimasi waktu dan biaya untuk menjalankan setiap proyek yang akan di kerjakan. Implementasi dari proyek sistem informasi pengarsipan berbasis web yaitu aliran data surat masuk dan keluar lebih terarah, dan efektif sehingga mempermudah user untuk mengelola pengarsipan. Abstract - The archiving information system is one aspect that is needed by banking companies, Archives play an important role in the smoothness and effectiveness. Currently filing by the BNI regional 15 office is still being done in writing using bookkeeping. With this web-based archiving information system project, it can change the performance system in the administration section to make it easier to archive incoming and outgoing letters and documents that are more secure and guaranteed confidentiality. This web-based archiving information system project goes through several stages in the software project development method, namely Initiating Processes, Planning Processes, Executing Processes, Controlling Processes, and Closing Processes. In the design stage, the program is made using the Laravel programming language and MySQL for data processing. Data Analysis Techniques This research is a descriptive analysis using qualitative methods by describing or describing in full and real terms the implementation model of the mail archiving information system in the web-based BMW-Funding Unit. Information system project design is carried out using the Work Breakdown Structure (WBS), so the preparation of project management is very good, it is necessary to estimate the time and cost to carry out each project to be carried out. Implementing a web-based archiving information system project, namely the flow of incoming and outgoing mail data is more directed and effective, making it easier for users to manage archiving.
