Abstract

This This article attempts to explore and compare the descriptive analysis of the development of the record management system paradigm over time. The aim is to examine the potential implications of applying the lifecycle theory approach to archives, the continuum record model, and the concept of vital records. Each of these approaches was developed in different periods and places, such as the archive lifecycle in the United States, the record continuum model in Australia, and the total archive concept in Canada. This article also investigates the differences and possible relationships among these three approaches as alternatives to complement the widely and traditionally used lifecycle theory approach in archiving activities in Indonesia. The study is conducted through a literature review using a qualitative and interpretative paradigm. Relying on historical and narrative analysis, the findings of this study provide evidence of the record management theories' practices within organizations. The study concludes that the record management practices in organizations can be improved by giving adequate attention to specific factors in each record management approach during implementation. Currently, the lifecycle theory remains dominant, but it is unable to address various challenges and issues in archiving. The continuum record model offers a more specific way to organize and support the preservation of electronic and digital archives, which are increasingly held by modern institutions or organizations not entirely covered by the lifecycle theory approach. Similarly, the total archive concept can be used as a strategy for documenting records and archives that possess historical context and institutional memory. However, there are still gaps in each approach that require further analysis of their key components to bridge these gaps and enable their holistic implementation in various archival institutions and organizations in Indonesia in the future.

Abstract

Management of inactive records must be carried out to maintain their value and prevent them from becoming messy. Messy records are still found in the archive storage of the Ministry of CX's Record Center. The processing unit sends these records in the form of boxes and sacks without a file list attached. Archives have a very important role as a source of information for an organization. This study aims to explain the management of inactive dynamic archives at the Archives Unit of the Ministry of CX in terms of procedures, human resources and also facilities and infrastructure as a form of archivist compliance with the rules. The research method used is the case study method with a qualitative approach. The data collection technique used for this research is an interview with eight informants who were archivists at the Ministry of CX. The results of this study indicate that, in handling inactive records, there are still many messy records caused by the knowledge and awareness of the processors in interpreting the records in the organization. This affects the compliance of archivists in the Processing Unit to manage their records properly, even though there are procedures and policies in place, problems are still caused in the original order at the Archives Unit. Supporting facilities and infrastructure were converted and rooms did not meet standards. As a result, archivists in the Archives Unit must re-manage it so that it is in accordance with the original order of the archives in the Archives Unit.

Abstract

Digital transformation assessment has not received full attention and is still rarely carried out by art galleries/museums in Indonesia. Digital transformation research on library and information science (LIS) that covers GLAM's concept focuses more on libraries, archives, and museums, while art galleries are scarce, especially in Indonesia. This study aims to conduct a digital transformation assessment of art galleries, especially the National Gallery of Indonesia (Galnas). The research uses a quantitative method by applying a digital transformation framework questionnaire that had tested at 400 cultural institutions in Italy (including art galleries). This research measures the Digital Readiness Index (DRI) on five dimensions: people, technology, processes, customers, strategy and investment. Interviews with Galnas managers had conducted to confirm the questionnaire’s answers. The results showed that the DRI value of the strategy and investment dimensions was 0.59; technology 0.22; people 0.14; processes and customers each 0.07. The overall level of digital readiness for Galnas is low.

Abstract

This research discusses the compliance of PT X's Office Letter Automation (OLA) system with the functional requirements for controlling access rights based on ISO 16175-2 2011. PT X has been using the system since 2019, OLA is a web-based application used to control correspondence and other activities. Electronic records management in PT X. This research aims to identify whether OLA meets EDRMS standards related to access rights or access control. This research uses a qualitative approach by studying literature and making observations to identify the implementation accuracy according to the ISO 16175-2:2011 standard requirements, which is examined with OLA as the research object. The research results show that of the 17-access control functional requirements, OLA can fulfill 16 mandatory requirements. So, it does not meet the minimum standards required by the standards and is included in the major findings. For this reason, organizations need to take corrective and preventive actions so that OLA can comply with the ISO 16175-2 2011 standard requirements. However, overall, OLA is good enough to support electronic security management activities, especially for security systems in the access rights section.

Abstract

The Dewey Decimal Classification (DDC) is a widely implemented classification system in most libraries. However, its usage has declined over the past four decades, and libraries are advised to undergo reclassification. Conversely, it is recognized that the implementation of specialized classification systems significantly impacts information retrieval. Therefore, the aim of this study is to elucidate the concept and methodology behind the integration of bespoke categorization frameworks within diverse libraries across Indonesia over the past decade. This study employs the Systematic Literature Review (SLR) and the Population, Intervention, Comparison, Outcome, and Context (PICOC) framework to analyze ideas, schemes, processes, and challenges in implementing specialized classification systems. Scientific articles sourced from Google Scholar were utilized for the review. Ten scientific articles were selected for analysis after successfully passing the literature quality assessment stage. The data were examined and analyzed by describing the research content, addressing issues in its formulation, and drawing conclusions from the scientific articles. According to the study's findings, the development of a specialized classification system is contingent upon the interpretation of ideas, the nature of collections, and the complexity of their contents. The primary distinction between utilizing a specialized classification system and a general classification system lies in the ease of the process. The application of a specialized classification system in various Indonesian libraries is based on ideological, practical, and empirical considerations.
