Abstract

The implementation of medical records management requires competent and professional human resources, as well as appropriate workload allocation. Mitra Sehat Situbondo Hospital currently employs two filing officers: one with a bachelor's degree in education and the other with a high school background. The research aims to analyze the workload of these officers and determine the staffing requirements for the filing unit. This descriptive qualitative research utilizes data collection methods such as interviews and observations.According to the findings, the calculations using ABK Kes indicate a requirement for five healthcare human resources, highlighting a need for an additional three employees in the filing unit.In summary, the research underscores the importance of adequately staffing the medical records management team to ensure efficient operations and effective patient care at Mitra Sehat Situbondo Hospital.

Abstract

Mitra Sehat Hospital in Situbondo won the general conference title for the first time in 2018. However, the number of case mix officers in this hospital is only six, and they face many tasks as the workload is disproportionate to their number. This study used the ABK-Kes methodology to determine the staffing needs of the Casemix department of Mitra Sehat Situbondo Hospital in 2023. The methodology used was a descriptive study with a qualitative approach. The population of this study consisted of six Case Mix officials with different educational backgrounds, namely, four with D4 RMIK education, one with a D2 degree in informatics, and one with a high school diploma. Data were collected by observation and interviews. From the results of calculations using the workload analysis (ABK-Kes) methodology, the need for the Casemix section is 10 PMIK. Meanwhile, Mitra Sehat Hospital has only six PMIKs, indicating the need to add four more staff to reduce the high workload and optimize staff working hours.

Abstract

Hospitals as health service providers are responsible for ensuring the storage of medical records in accordance with regulations, both in conventional and electronic form. At Mitra Sehat Situbondo Hospital, the process of transitioning from conventional to electronic medical records is ongoing, but has not yet been fully implemented. Some of the obstacles faced include delays in digitalization and no clear operational procedures (SOP). This research aims to evaluate the management of medical records in support of digitalization, using a qualitative descriptive approach involving observation and interviews. The research results show that the use of RME at Mitra Sehat Hospital has only been implemented in outpatient settings, while scanning and digitizing medical records is not yet optimal. Digitalization of conventional medical record files is carried out through a scanning and retention process to reduce the accumulation of files in the filing unit. Storage efficiency and security of physical documents that indicate damage, loss and natural factors can be maintained with digital files. Through this research, it is hoped that Mitra Sehat Hospital can design features that support media transfer to ensure consistent medical records and ensure an efficient data migration process.

Abstract

The purpose of this study is to evaluate the implementation of electronic medical records (EMR) and occupational health and safety (OHS) at the filling unit of Mitra Sehat Situbondo Hospital. The research employed a qualitative descriptive method involving interviews and observations over a period of four months. Findings indicate that despite the hospital's adoption of EMR for outpatient care since May 2024, several departments and inpatient units still utilize conventional medical records. The filling unit faces challenges such as limited space and file stacking. The health of staff is affected by inadequate use of personal protective equipment (PPE). Nonetheless, the document disposal process has been effectively conducted to maintain confidentiality. This study underscores the need for infrastructure improvements and OHS practices to enhance efficiency and safety in the storage and handling of medical records at the hospital.
