Abstract

General Background: Electronic medical records (EMR) require standardized data variables to support compatibility and interoperability within healthcare information systems. Specific Background: Bhayangkara Porong Hospital uses the Enterprise Hospital System (E-HOS) for electronic medical record management, but the completeness of its variables needs to correspond with the variables established by the Ministry of Health. Knowledge Gap: The extent to which EMR variables in the E-HOS application comply with the specified regulatory guidelines required systematic assessment. Aims: This study aimed to identify and analyze incomplete EMR variables in the E-HOS application at Bhayangkara Porong Hospital. Results: This qualitative descriptive study collected data through observation, interviews, and documentation studies concerning regulations governing electronic system variables and metadata. The findings showed that 10 EMR variables did not comply with the applicable guidelines, while 9 variables complied. The compliance levels varied across patient identification, payment methods, general consent, initial assessment, and specialist examination forms. Notably, the general consent variables showed 0% compliance, while several initial assessment variables reached 100% compliance. Novelty: The study examines the compliance of E-HOS variables with the Ministry of Health guidelines across multiple outpatient EMR components at Bhayangkara Porong Hospital. Implications: The findings identify specific variables requiring attention in the implementation of EMR and provide a basis for aligning the E-HOS application with established regulatory requirements. Key Findings Ten electronic medical record variables were identified as non-compliant with the applicable guidelines. Nine variables were found to comply with the established requirements. Initial assessment variables achieved full compliance, whereas general consent variables showed no compliance.
