Abstract

This study aims to formulate a comprehensive and digital technology-based management strategy for grey literature in university libraries. Grey literature plays a vital role in the scholarly communication ecosystem; however, its non-commercial publishing nature makes it more challenging to identify, access, and manage compared to conventional literature. This research employs a literature review method with a content analysis approach toward various scientific journal articles published within the last 10 years from academic databases. The results indicate that optimizing grey literature management in the digital era can be achieved through the implementation of four integrated primary strategies: (1) digitalization and media conversion to expand accessibility; (2) the development of structured, user-centered institutional repositories; (3) metadata standardization to ensure interoperability and ease of information retrieval; and (4) the implementation of accessibility policies based on Open Access to minimize legal and financial barriers. In conclusion, these four strategic pillars complement each other in forming a comprehensive management ecosystem, enabling university libraries to maximize their role as central hubs for information dissemination that supports research and inclusive scholarly communication.

Abstract

A nation’s collective memory is a shared heritage preserved in archives, whether in the form of documents, ancient manuscripts, cultural works, or historic buildings. Archives serve as the foundation of national identity and a source of knowledge for future generations. In the digital age, Generation Z as a generation that has grown up with technology has great potential in the preservation of collective memory, yet they may not necessarily possess sufficient awareness, as their attention is more focused on entertainment content. This study aims to describe Generation Z’s awareness regarding the preservation of the nation’s collective memory through three main indicators: knowledge, attitude, and action. This study employs a quantitative descriptive approach. The research was conducted at Airlangga University with a population of active students aged 18–25 years. The results indicate that Generation Z’s knowledge regarding the nation’s collective memory is quite good, their attitudes are generally positive and supportive of preservation, yet concrete actions still need improvement, particularly regarding the consistency of accessing historical content. The primary challenge faced is a lack of engaging information and outreach. This study concludes that creative communication strategies based on social media, as well as increased access to digital and physical archives, are needed so that Generation Z’s awareness can be transformed into active participation in the preservation of the nation’s collective memory.

Abstract

This study aims to examine the behavior of undergraduate (S-1) and applied undergraduate (D-IV) students at Airlangga University in managing personal digital documents using the Personal Information Management (PIM) framework. A descriptive quantitative approach was used to collect data from 100 valid respondents, which was analysed using percentage and frequency distribution techniques. This study shows that the acquisition of digital documents via messaging apps, collaboration platforms and internet searches has become the main channel. During the management stage, most respondents used laptops, smartphones and cloud storage to organise documents hierarchically by activity and title. Although the process of retrieval and evaluation has been done systematically and periodically by systematic search and review of files, the practice of organisation and long-term maintenance still requires standardisation so that the management of digital student documents runs more consistently.

Abstract

The Balai Besar Perpustakaan dan Literasi Pertanian (BB Pustaka) holds more than 11,000 antiquarian collection titles with high historical and scientific value, making preservation policy implementation a critical institutional responsibility. This study aims to analyze the implementation of preservation policies for ancient and rare collections at BB Pustaka, examine the effectiveness of operational guidelines used, and identify managerial constraints in preservation activities based on IFLA preservation principles. This research employed a qualitative method with a case study approach. Data were collected through in-depth interviews, observation, documentation, and literature study. Informants were selected using purposive sampling consisting of senior librarians, unit heads, and technical preservation staff. Data validity was tested through source triangulation and analyzed using the Miles and Huberman model. The results show that preservation policy at BB Pustaka has a normative basis derived from Ministry of Agriculture regulations, with preservation activities prioritized on Indonesiana collections. However, the existing SOP has not been optimally utilized as a work guideline due to inadequate socialization. Preservation practices largely rely on tacit knowledge transmitted informally among librarians. A digital flipbook containing detailed technical procedures was found, but it has not been formally institutionalized as an official policy document. BB Pustaka has sufficient institutional foundations and technical capacity for preservation, but requires strengthening in procedure standardization, policy documentation, and institutionalization of preservation knowledge to ensure more consistent and sustainable collection conservation.

Abstract

This study examines the implementation of digital archives by the Central Java Provincial Archives and Library Service in an effort to preserve physical archives following a disaster. Archives play a vital role as sources of data and evidence; however, Indonesia is prone to natural disasters that can damage physical archives. The digitization of archives is considered an effective way to protect and preserve archival information. The research methodology employs a literature review approach by examining various relevant sources of literature on the implementation of digital archives. Data were analyzed using descriptive qualitative methods to understand the implementation of digital archives. The results indicate that the Archives and Library Service implements digital archives by converting physical archives into digital formats, thereby reducing the risk of loss or damage caused by disasters. Digitization also facilitates information management and access, although its implementation still faces various challenges such as limitations in human resources, digital facilities and infrastructure, and data security. The study concludes that digital archives are crucial for the preservation of physical archives post-disaster, with a need for improvements in human resources, technological infrastructure, and digital security systems.

Abstract

Digital transformation has encouraged mosques to utilize YouTube as a medium of da'wah, yet the content produced is often not managed as a knowledge asset. This study aims to map the distribution and Islamic education function of the digital da'wah content of Masjid Raya Syekh Ahmad Khatib Al Minangkabawi, West Sumatra, to analyze the manifestation of knowledge conversion in the SECI model along with its codification compliance, and to formulate a knowledge management model. It employs a qualitative descriptive approach with content analysis of a census of 392 videos collected through the YouTube Data API v3. The findings reveal that the channel is dominated by a structured ta'lim function (65%), with a strong externalization stage (92% of content is themed) but an almost failing combination stage (0% tags, 2% descriptions) and an inconsistent naming taxonomy. From this pattern, a SECI-based Islamic education knowledge management model is formulated, positioning the combination stage as the leverage point for improvement. The study concludes that content productivity does not automatically correspond to the quality of knowledge management, and the proposed model offers a concrete and transferable direction for improvement for other mosques managing digital da'wah channels.

Abstract

This study aims to analyze user perceptions of circulation librarians in supporting modern library services at the Regional Archives and Library Office of West Sumatra Province. This study uses a quantitative descriptive approach. The population consisted of 3,277 circulation service users during the period October–December 2025, with a sample of 97 respondents determined using the Slovin formula and purposive sampling techniques. Data were collected through questionnaires, observations, and documentation studies. Data were analyzed using descriptive statistics by calculating the average value and Respondent Achievement Level (RAL). The results showed that user perceptions of circulation librarians were generally in the good to very good category, with an overall positive assessment of 73.1%. In the SERVQUAL dimension, Tangibles obtained the highest percentage (75.3%), while reliability and assurance showed the lowest percentage (70.1%). In the LibQUAL dimension, the Library as a place obtained the highest score (76.3%), followed by service influence (74.2%) and information control (72.2%). The research results show that circulation librarians have made a positive contribution to supporting modern library services through professional and responsive service supported by adequate facilities and information systems. However, improvements in librarian competency, service consistency, and information system optimization are still needed to continuously improve service quality.
