Abstract

The United States (U.S.) leads at the forefront of modern archival innovation, while Indonesia advances digital transformation amidst the persistent influence of traditional approaches and conservative perspectives in conventional records management. The National Archives and Records Administration (NARA) in the U.S. and the National Archives of the Republic of Indonesia (ANRI) play key roles. A balanced approach combining tradition and innovation is essential for navigating transitional challenges. This study aims to provide a comparative analysis of archival management practices between The United States’s NARA and Indonesia’s ANRI, examining the interplay of traditional approaches and digital innovation. Using a descriptive qualitative methodology and literature review, the research highlights NARA’s advanced digital archival system and ANRI’s developmental stage, where cultural, policy and infrastructure challenges persist. The findings underline the importance of integrating traditional principles with innovative solutions for sustainable archive management. As both nations navigate the complexities of technological advancement, they prioritize data security and privacy measures.

Abstract

Setiap peristiwa atau kejadian selalu meninggalkan memori atau informasi terekam, yang disebut rekod dan arsip. Rekod adalah informasi atau hasil rekaman dari suatu peristiwa yang disimpan sebagai bukti dalam berbagai bentuk, sedangkan arsip adalah bagian dari rekod yang memiliki nilai guna di masa depan, baik administratif, hukum, maupun sejarah. Oleh karena itu, arsip harus dikelola dengan baik agar cepat tersedia saat diperlukan. Hal ini sangat relevan bagi mahasiswa yang memiliki banyak dokumen atau file digital untuk keperluan perkuliahan dan aktivitas pribadi, sehingga pemahaman tentang pengelolaan rekod dan arsip sangat penting. Studi ini meneliti praktik pengarsipan digital pribadi (PDA) mahasiswa di Fakultas Ushuluddin, Adab dan Dakwah IAIN Ponorogo. Penelitian ini menggunakan jenis penelitian kuantitatif melalu survei kepada 100 orang responden dari 4 prodi di lingkungan Fakultas Ushuluddin, Adab dan Dakwah Institut Agama Islam Negeri Ponorogo. Berdasarkan temuan penelitian diketahui bahwa kesadaran pengarsipan mahasiswa relatif tinggi, mahasiswa memiliki kecenderungan optimisme terkait alat dan teknik PDA; mahasiswa cukup termotivasi dalam melakukan PDA dan strategi yang mereka gunakan relatif sederhana; serta privasi pengguna dan keamanan pengarsipan merupakan risiko dan tantangan terbesar yang dihadapi oleh mahasiswa dalam mengelola arsip digital mereka. Untuk mengatasi masalah ini, diusulkan upaya baik dari sisi individu dan lembaga, termasuk saran agar lembaga menerapkan intervensi lanjutan dalam kemajuan PDA untuk meningkatkan kesadaran PDA mahasiswa, dan saran agar mahasiswa memandang teknologi pengarsipan secara dialektis serta menggunakan alat pengarsipan secara rasional, menggunakan berbagai strategi, mengelola perilaku PDA, dan mengambil berbagai tindakan untuk melindungi privasi pribadi dan keamanan informasi mereka.

Abstract

This study aims to analyze the training needs to support the skills and knowledge of archivists in managing records and archives at Universitas Negeri Yogyakarta (UNY). The research method used is a qualitative approach with interview techniques with five archivists. The results of the study indicate that limited skills in digitalization and management of electronic records and archives, lack of human resources, and minimal digital infrastructure are the main obstacles in the recordkeeping and archiving system. In addition, there is still a gap between the skills possessed by archivists and the demands of technological developments and archival policies. This study recommends improving the competence of archivists through ongoing training that includes digital skills, electronic records and archives management, archives conservation, and understanding of archival regulations. In addition, investment in technological infrastructure and institutional policy support are needed to improve the effectiveness of the archival system at UNY. The implications of this study highlight the importance of technology integration in the management of academic archives and the strategic role of archivists in maintaining the sustainability of institutional information. The results of the study can be the basis for the development of training programs and policies that are more adaptive to the challenges of the digital era.

Abstract

Arsip publikasi ilmiah bukan sekadar kumpulan dokumen, tetapi merupakan sumber daya penting bagi peneliti dalam mengembangkan ilmu pengetahuan. Studi ini bertujuan untuk mengeksplorasi nilai guna arsip publikasi ilmiah serta memahami perannya dalam ekosistem pengetahuan. Dengan metode analisis konten dan deskriptif kualitatif, studi ini menggambarkan kondisi arsip publikasi ilmiah tanpa mengubah data yang ada. Data dari SciVal menunjukkan dominasi artikel ilmiah (82,7%) serta komitmen institusi dalam penyebaran penelitian. Sebanyak 46,6% publikasi terindeks di jurnal Q1, dengan 30,7% melibatkan kolaborasi internasional dan 34,7% kolaborasi domestik, mendukung perspektif multidisipliner. Bidang dominan meliputi psikologi dan ilmu sosial (38,6%), kedokteran (26,4%), serta humaniora (13,4%). Arsip publikasi ilmiah menjadi fondasi strategis dalam ekosistem pengetahuan, menghubungkan masa lalu dan masa depan. Penguatan infrastruktur digital, kolaborasi global, dan integrasi kebijakan diperlukan untuk memaksimalkan nilai guna arsip.

Abstract

This article aims to formulate a human-centered policy direction for university archival management in response to the challenges and opportunities of digital transformation. Adopting a qualitative-descriptive approach and a review of 38 national and international scholarly articles, this study explores the structural, technological, and philosophical dimensions influencing academic archival governance. The findings reveal that university archives play a strategic role not only as administrative instruments but also as spaces for institutional reflection, social dialogue, and the cultivation of collective intelligence within academic communities. Concepts such as collective intelligence, semantic systems, and participatory curation provide the foundation for inclusive and sustainable policy alternatives. This paper proposes five strategic directions: digital curation training, implementation of AI-based metadata systems, adoption of open interoperability models, institutionalization of campus-based digital curation units, and development of ethical guidelines grounded in inclusion and the right to memory. Through this approach, university digital archives can evolve into adaptive, reflective, and humanistic epistemic infrastructures that strengthen institutional memory resilience in the Society 5.0 era.

Abstract

This study aims to evaluate electronic records management at Universitas Gadjah Mada (UGM) and identify the challenges and solutions faced by various faculties. The research method used is a comparative qualitative approach, collecting data through in-depth interviews and document analysis from several faculties with different electronic records management systems. The study results show that electronic records management at UGM varies across faculties. Some faculties, such as the Faculty of Cultural Sciences and Animal Science, still rely on manual methods or limited applications. In contrast, others, such as the Faculty of Pharmacy, Economics and Business, and Agricultural Technology, have started to develop more organized technology-based systems. The main challenges include limited human resources, data security risks, and suboptimal system integration. This study recommends creating a more integrated electronic records management system across all faculties, continuous training for records management staff, and measures to enhance data protection and secure the destruction of records. Implementing these recommendations will improve the efficiency, security, and effectiveness of electronic records management at UGM and serve as a reference for other faculties looking to optimize their electronic records management systems.
