Abstract

Tacit knowledge is implicit knowledge that plays a crucial role in experiential learning within information literacy communities, yet it is difficult to preserve due to its intangible nature. This study aims to identify transfer mechanisms, preservation strategies, and factors contributing to the vulnerability of tacit knowledge in volunteer-based communities. The study employs a Systematic Literature Review (SLR) following PRISMA 2020 guidelines using the Scopus database. A total of 10 articles were analyzed through qualitative thematic synthesis. The findings show that tacit knowledge transfer occurs through shared practices, mentoring, and experience-based learning. Preservation strategies include narrative documentation, reflective practices, and community strengthening. The vulnerability of tacit knowledge is influenced by weak documentation, high member turnover, and dependence on individuals. These findings highlight that preserving tacit knowledge requires strengthening social interaction and collective practices, not merely digitalization.

Abstract

This study examines the contribution of tacit knowledge externalization to the preservation of organizational memory and identifies the mechanisms and barriers that emerge within formal organizational contexts. The study applies a systematic literature review method using PRISMA 2020 as the reporting guideline for the literature selection process. Data were analyzed through a narrative synthesis approach to describe key findings from relevant studies. The results indicate that externalization plays a fundamental role in sustaining organizational memory by mitigating knowledge loss, strengthening collective memory, and developing knowledge repositories. Externalization mechanisms are identified in two main categories, consisting of process-based mechanisms and technology-based mechanisms. The most influential barriers to externalization are concentrated in three main clusters, namely cultural, structural, and technological factors, which simultaneously weaken organizational capacity to build and sustain collective memory in contemporary formal organizational settings. Overall, the findings emphasize that externalization depends on readiness to address barriers.

Abstract

Tacit knowledge is a strategic organizational asset in the form of individual experience, expertise, and intuition that is difficult to manage due to its implicit and contextual nature. Previous studies have extensively explored knowledge management practices, but limited attention has been paid to understanding the preservation of tacit knowledge within organizations. This article aims to systematically identify the forms of tacit knowledge managed by organizations, their preservation mechanisms, and the challenges organizations face in implementing such management and preservation. The research method used was a Systematic Literature Review (SLR), which examined reputable scientific articles relevant to the theme of tacit knowledge management and preservation in organizations. The PRISMA method was used to select articles, resulting in 33 articles relevant to the research objectives. The results indicate that tacit knowledge in organizations generally takes the form of practical experience, individual insights, technical skills, and community insights. Management and preservation are carried out through informal sharing mechanisms, mentoring, formal training, the use of technology, and Communities of Practice (CoP). However, the management and preservation of tacit knowledge face various challenges, particularly related to a lack of organizational support, a lack of trust between individuals, difficulties in standardization, ineffective use of technology, rigid bureaucracies, and limited organizational resources. This study offers novelty by integrating forms of tacit knowledge, preservation mechanisms, and organizational challenges into a unified analytical framework, highlighting the importance of a socio-technical approach to maintaining organizational memory. The results provide theoretical contributions to advancing knowledge management literature, as well as practical implications for organizations in designing adaptive strategies to preserve strategic intellectual assets in dynamic environments.

Abstract

In the era of digital transformation, archival institutions increasingly rely on information systems to ensure sustainable access to organizational knowledge. The effectiveness of knowledge retrieval in archival systems has become increasingly critical in the digital era. However, existing studies remain fragmented, with limited integrative analysis of technological, organizational, and user-related factors. This study addresses this gap by systematically reviewing the influence of information system implementation on knowledge retrieval effectiveness in archival contexts. A Systematic Literature Review (SLR) was conducted on 28 peer-reviewed articles indexed in Scopus and Taylor & Francis, published between 2015 and 2025. The selected studies were analyzed using a structured classification approach to identify key variables, measurement indicators, and implementation challenges. The findings reveal that knowledge retrieval effectiveness is shaped by five interconnected dimensions: digital infrastructure transformation, metadata standardization, system interoperability, retrieval system integration, and cross-professional collaboration. Effectiveness is commonly assessed using retrieval performance metrics, metadata quality, user interface, user experience, and data accessibility. Despite these advancements, persistent challenges continue to hinder optimal system performance. This study contributes to the literature by proposing an integrative analytical perspective that links technological, organizational, and user-centered dimensions in evaluating archival knowledge retrieval, thereby addressing the lack of synthesis in prior research. The results highlight that successful implementation depends not only on technological capability but also on alignment with governance structures and user readiness. These findings have practical implications for archival institutions and policymakers in designing adaptive, interoperable, and user-oriented information systems to enhance sustainable access to knowledge

Abstract

Digitizing personnel records is a strategic step that not only improves administrative efficiency but also strengthens knowledge governance within organizations. This study aims to analyze the role of personnel records digitization in improving efficiency and accessibility, preventing the risk of organizational memory loss, identifying supporting factors and barriers to implementation, and examining its implications for organizational knowledge preservation. The method used is a literature review of six research articles related to personnel records digitization in various government and private institutions in Indonesia. The results show that digitization accelerates archive retrieval, increases employee productivity, and reduces the risk of damage to physical archives. Without digitization, organizations risk facing organizational memory loss, which hinders accountability and the transfer of institutional knowledge. The main supporting factors for digitalization implementation include leadership support, regulations, technological infrastructure, and human resource competencies, while barriers include budget constraints, low digital literacy, archive complexity, and the risk of data leakage. The implications of this study show that digitization is not only a technical solution but also a long-term strategy to maintain the continuity of organizational knowledge. Theoretically, these results strengthen the integration between records management and knowledge management within the framework of Records Continuum and Organizational Memory Theory. Practically, these findings provide a basis for organizations to formulate archive digitization policies that are oriented towards efficiency as well as the preservation of institutional knowledge.

Abstract

Background: In the era of digital transformation, archival institutions are required to not only manage administrative documents but also to build a more strategic and representative institutional image. The use of social media, such as YouTube, Instagram, or Facebook, becomes a strategic tool to build brand visibility and expand an institution’s public communication reach. Objective: This study aimed to analyze strategies for increasing the visibility of the UI Archives Office through social media. The study focuses on the types of YouTube content published by the Universitas Indonesia (UI) Archives Office and audience engagement with the posted uploads. Methods: The units of analysis include content themes, information presentation, audience engagement, and their potential contribution to strengthening the visibility of the UI Archive Office. Results: The study found that despite the educational and informative content presented, the UI Archives Office’s YouTube channel has not optimally built a strong visual narrative or engaged audience participation. The visual narrative used tends to be formal and lacks the use of Call-to-Action (CTA) elements that could build an emotional connection with the audience. Conclusion: These results indicate that YouTube has great potential as a branding medium for institutions, but it requires a more strategic and participatory digital communication approach. Strategic recommendations are provided through increasing the Call-to-Action (CTA) elements in every video uploaded, involving students and alumni to expand the audience reach, cross-media social integration, and organizing internal training related to digital content management. Further research should focus on measuring whether increased visibility through social media contributes to an increase in archival literacy, the utilization of archival services, or public participation in institutional activities. Keywords: YouTube; content analysis; audience engagement; and visibility

Abstract

Background: Digital library applications have expanded access to reading materials, making user experience an important dimension of service evaluation. iPusnas, developed by the National Library of Indonesia, has attracted substantial user engagement, reflected in the large number of reviews on the Google Play Store. These reviews provide valuable insights into public perception yet require systematic analysis to inform service improvement. Objective: This study aims to examine user sentiment and emotional tendencies toward the iPusnas application based on Google Play Store reviews, with the goal of identifying key aspects of user experience that require attention. Methods: This study applies a sentiment analysis approach to 500 user reviews collected through data scraping between 2024 and May 2025. The analysis involves text preprocessing, sentiment classification, and emotion detection using the SentiArt lexicon-based method, which enables the identification of affective dimensions in textual data. Model performance is evaluated using precision and recall metrics, and results are further explored through word frequency and topic patterns. Results: The findings show that positive sentiment is primarily associated with expressions of satisfaction and enjoyment, while negative sentiment reflects frustration related to technical issues and service limitations. The classification model demonstrates relatively high precision for both positive (84.4%) and negative (94.7%) categories, but lower recall, indicating limitations in capturing diverse expressions of sentiment in Indonesian-language reviews. Thematic patterns highlight recurring concerns such as application stability, access to collections, and user interface experience. Conclusion: User reviews of iPusnas reveal a combination of positive engagement and persistent technical concerns. The results suggest that sentiment analysis can support service evaluation but also highlight methodological challenges in accurately capturing nuanced expressions in Indonesian. Strengthening system performance and responsiveness to user feedback remains essential to enhancing the role of iPusnas in supporting digital literacy
