Abstract

The transformation of archive management to an electronic system requires the existence of effective digital finding aids to support access and retrieval of archives (archival retrieval systems). This study aims to analyze the role of digital finding aids in the E-Archives system of Muhammadiyah University of Jakarta (UMJ). The study used a descriptive qualitative approach with application developers, archive managers, and system users as subjects. Data were collected through observation, interviews, and documentation. Data analysis refers to the interactive model of Matthew B. Miles et al. which includes data reduction, presentation, and iterative drawing and verification of conclusions. Data validity was maintained through triangulation of sources and techniques. The results show that the UMJ E-Archives has implemented basic elements of digital finding aids such as metadata, classification, and search features. However, its effectiveness still needs to be improved through metadata standardization, enrichment of archive descriptions, and adjustments to user needs. The novelty of this study lies in the integration of system analysis and user experience, with practical contributions in the form of recommendations for developing a more structured and user-oriented archive system.

Abstract

This study aims to analyze the implementation of knowledge management (KM) in school libraries in Indonesia, focusing on three key indicators: people (human resources), process, and technology. Using a mixed-methods approach with an explanatory sequential design, data were collected from 399 respondents via a questionnaire and supplemented with interviews and observations. The results indicate that KM implementation generally falls into the “good” category with a grand mean of 3.65. The “people” indicator received the highest score (4.03), followed by the “process” indicator (3.79), while the “technology” indicator received the lowest score (3.15). These findings reveal an imbalance in the knowledge ecosystem; although librarians and educational staff demonstrate high proactivity in sharing knowledge, technological infrastructure support remains limited to basic administrative functions and has not yet reached the level of a systematic knowledge repository. The lack of technological support results in KM practices in school libraries being person-dependent (relying on individuals), thereby risking the creation of “ephemeral knowledge” that is easily lost during staff turnover. This study concludes that policy reforms are needed to prioritize the standardization of digital infrastructure and the enhancement of librarians’ digital competencies in order to transform school libraries from collection circulation units into institutional memory centers.

Abstract

Information dissemination is one of the primary activities carried out by various institutions, particularly those in the information services sector. The Meteorology, Climatology, and Geophysics Agency is a government agency that regularly disseminates information on climate, weather, and natural disasters, and has been innovating in its information dissemination methods. Having maintained a YouTube channel since 2017, this agency began innovating by using digital characters—known as virtual YouTubers (VTubers)—in 2024. Based on observations of its channel, the number of viewers accessing information presented by these digital characters tends to be higher compared to content without them. These virtual YouTubers have become a unique attraction for the public and align with the digital culture of young people. This is one of the key motivations behind this study. Additionally, this research aims to understand how the public responds to the information dissemination innovations implemented by the government agency, in this case the BMKG Gowa, when using digital characters as its medium. This study examines the public’s reception, understanding, and evaluation of the information dissemination conducted by the BMKG Gowa. The research method employed was quantitative, involving the collection of responses from 397 participants. Data analysis was based on the theory of information dissemination strategies, which encompasses the recipient, source, information content, context, and medium. These five factors serve as the primary indicators for measuring information dissemination in this study. The results of this study indicate that information dissemination using virtual YouTubers is well-received and positively evaluated by a significant portion of the public. Furthermore, the use of virtual YouTubers does not affect the public’s level of understanding regarding the information presented. The public remains able to clearly understand and trust the accuracy and relevance of the information provided.

Abstract

This study aims to develop a website-based group visit reservation service for public libraries using the Waterfall development model, consisting of analysis, design, implementation, testing, and maintenance stages, in order to address inefficiencies and scheduling conflicts caused by manual reservation systems. The system was developed using Laravel, PHP, and MySQL, and evaluated through expert validation and field testing involving 15 respondents, resulting in scores of 95% for media validation, 88% for material validation, and 96% for field testing, all categorized as “very feasible.” Beyond its local implementation, this study highlights the practical significance of the system in supporting digital transformation in public libraries by improving service efficiency, enabling real-time scheduling, and enhancing user accessibility. Furthermore, the integration of features such as online booking, automated confirmation, and reminder notifications demonstrates a contribution to the development of more systematic, transparent, and technology-driven library services

Abstract

The digitization of Indonesian manuscripts is not only related to the preservation of texts, but also includes visual information such as illustrations and illuminations. Previous studies have focused more on the technical aspects of digitization, while the representation of illustrations in metadata is still rarely studied. In fact, without a clear representation, illustrations are difficult to trace and utilize as cultural information. This study aims to examine the management of illustrations of Indonesian manuscripts in digital form and analyze their representation in metadata on the Khastara portal at the National Library of the Republic of Indonesia. The method used is a qualitative case study approach through non-participatory observation techniques, interviews, and literature review with five informants. Data analysis refers to the Digital Cultural Heritage Standards framework: From Silo to Semantic Web, which includes elements of METS, Semantic Web, and Enricher. The research findings show that digitization is carried out systematically and is able to record illustrations well visually. However, in metadata, illustrations are still presented as part of the general description of the manuscript and have not been positioned as independently accessible information. This condition indicates that the function of metadata is still limited to collection description and does not fully support the traceability of visual information. This research confirms that metadata development needs to be directed at the ability to represent illustrations as structured visual information. This is crucial so that digital repositories function not only as storage but also as a means of broader access and utilization of cultural heritage.

Abstract

In the era of digital transformation, archival institutions increasingly rely on information systems to ensure sustainable access to organizational knowledge. The effectiveness of knowledge retrieval in archival systems has become increasingly critical in the digital era. However, existing studies remain fragmented, with limited integrative analysis of technological, organizational, and user-related factors. This study addresses this gap by systematically reviewing the influence of information system implementation on knowledge retrieval effectiveness in archival contexts. A Systematic Literature Review (SLR) was conducted on 28 peer-reviewed articles indexed in Scopus and Taylor & Francis, published between 2015 and 2025. The selected studies were analyzed using a structured classification approach to identify key variables, measurement indicators, and implementation challenges. The findings reveal that knowledge retrieval effectiveness is shaped by five interconnected dimensions: digital infrastructure transformation, metadata standardization, system interoperability, retrieval system integration, and cross-professional collaboration. Effectiveness is commonly assessed using retrieval performance metrics, metadata quality, user interface, user experience, and data accessibility. Despite these advancements, persistent challenges continue to hinder optimal system performance. This study contributes to the literature by proposing an integrative analytical perspective that links technological, organizational, and user-centered dimensions in evaluating archival knowledge retrieval, thereby addressing the lack of synthesis in prior research. The results highlight that successful implementation depends not only on technological capability but also on alignment with governance structures and user readiness. These findings have practical implications for archival institutions and policymakers in designing adaptive, interoperable, and user-oriented information systems to enhance sustainable access to knowledge

Abstract

Despite Indonesia’s evolving digital landscape, women, especially housewives, often face literacy gaps that make them more vulnerable to information overload and gender issues. While non-profit digital communities have emerged as alternative hubs for literacy, their role in structured empowerment remains underexplored within the field of Library and Information Science (LIS). This study aims to analyze the process of women’s empowerment through literacy in the non-profit organization “Ibu Cerdas Berdaya” (commonly known as @bbbbookclub). Using a qualitative case study approach, data were collected through purposive sampling involving the founder and three active members, achieving data saturation through repetitive thematic dimensions. Data collection included semi-structured interviews, virtual observations, and document analysis of internal evaluation reports for triangulation. The collected data were analyzed using the Braun & Clarke's thematic model. The findings reveal that: (1) the implementation of systematic literacy programs, such as reading challenges, book discussions, and competitions, effectively transform social media into a Virtual Community of Practice (VCoP); and (2) this participation significantly shifts information behavior, enhancing critical information filtering and personal autonomy. “Ibu Cerdas Berdaya” plays a crucial role in enhancing the quality of life for Indonesian housewives and mitigating intellectual isolation among them  by bridging the gap between digital recreation and functional literacy. This community-driven model offers a valuable framework for empowering marginalized groups through information activities in the digital age.

Abstract

This research aims to develop and improve the utilization of the Jangka Jayabaya Manuscript and the Anasir Book in the Islamic Thought Laboratory of UIN Salatiga through the digitization process and implementation of the Senayan Library Management System (SLiMS) Bulian automation system. The method uses Research and Development (R&D) ADDIE models with data collection through direct observation of the physical condition of the manuscript and the management process, in-depth interviews with laboratory managers, documentation studies, and comparative surveys of pre-post implementation, including quantitative analysis derived from the SLiMS Report Access feature. The results of the study show a substantial increase in utilization effectiveness: simultaneous access capacity has increased drastically (recorded to reach 17 to 32 users) in the same time session in conducting studies through scripts. In addition, accessibility has expanded to 24 hours non-stop due to the bold nature of the system, while significantly reducing the risk of physical damage to the manuscript due to direct contact. However, major obstacles include the inability of digital surrogacy to fully support in-depth codicological analysis that requires direct physical interaction with the artifact. Other challenges include limitations in technical infrastructure, especially in terms of database capacity and the resilience of the hosting domain which is still temporary.

Abstract

This study examines archival promotion practices through the Instagram account of the University of Indonesia Archives (@arsipui) within the framework of institutional digital communication. It analyzes the types of information shared, variations in content categories and formats, and user engagement. A descriptive quantitative approach was employed using content analysis of all posts up to June 10, 2025, collected through an Instagram Scraper, categorized into seven content types, and analyzed using Microsoft Excel. User engagement was measured using median values of likes and comments to account for the skewed distribution of social media data. The findings show that among 304 posts, video (135) and carousel formats (128) dominate compared to single-image posts (41). The most prominent categories are Archival Information and News (109 posts) and Archival Activities (73 posts), both of which generate the highest levels of engagement. Analytically, the results indicate that user engagement is not determined solely by content type, but by the interaction between content categories, visual formats, and platform distribution mechanisms.This study contributes by proposing a simplified conceptual framework in which user engagement is understood as the outcome of the interplay between content, format, and platform logic in archival digital communication. The findings suggest that archival promotion strategies should move beyond information-centered approaches toward more audience-oriented and visually narrative communication to enhance engagement in social media environments.
